Travel Booking Workflow Redesign

Inquiry -> quote -> booking -> supplier confirmation -> payment -> fulfillment -> reporting

Problem

Booking status was spread across inboxes, records, and spreadsheets, which made follow-up slow and reporting unreliable.

Approach

Mapped the actual journey from first inquiry to final reporting, then removed unclear handoffs and duplicated tracking.

System designed

A clearer workflow with one visible stage for each booking and a cleaner handoff between quoting, supplier confirmation, payment, and fulfillment.

Tools used

  • Airtable
  • Google Sheets
  • Shared inbox process
  • Automated reminders

What improved

The workflow became easier to follow, status was simpler to see, and the team spent less time chasing down where a booking stood.

What could improve next

Add deeper profit tracking by booking type and more automation around reminder timing.

Lead Follow-Up System

Lead sources, status tracking, last contact date, next follow-up date, quote status, won/lost reason

Problem

Leads were arriving from multiple sources, but follow-up was not consistently visible and the team had no easy way to see what needed attention next.

Approach

Defined a simple lead lifecycle, standardized the data fields, and made the next follow-up date part of the daily workflow.

System designed

A lead tracker with source, status, last contact date, next follow-up date, quote status, and won or lost reason built into the process.

Tools used

  • HubSpot
  • Google Sheets
  • Follow-up templates
  • Status rules

What improved

Lead ownership became clearer, follow-up was easier to manage, and the team could see which leads had stalled.

What could improve next

Add more detailed source performance tracking and a manager view for overdue follow-ups.

Sales & Profit Reporting Dashboard

Revenue, costs, commission, profit, GST/tax tracking, vendor, agent, booking date, service date

Problem

The business could see sales, but not profit, tax, or commission clearly enough to make confident decisions.

Approach

Separated revenue from costs and commissions, then built a reporting model that made margin and tax-related fields easier to review.

System designed

A dashboard that tracked revenue, cost, commission, profit, GST or tax, vendor, agent, booking date, and service date in one place.

Tools used

  • Google Sheets
  • Looker Studio
  • Reporting rules
  • Monthly reporting templates

What improved

The owner gained a clearer monthly view of sales and profit rather than only top-line revenue.

What could improve next

Add source-level profitability views and a stronger monthly forecast view.

Next step

If a workflow pattern looks familiar, start with a free consultation.

The free consultation is the fastest way to identify where the system is leaking and which improvement will create the most momentum.
